Individual Hotel Incentive

Program Overview

  • The program is designed for TPID-participating hotels to offer incentives to self-contained groups or meetings that generate new overnight visitation to San Antonio. Applications must be submitted to satpid@vistisanantonio.com prior to the group executing a contract with the hotel.

  • Upon approval of a pre-event application, the hotel is authorized to extend the incentive to its selected group. Once the group is confirmed, the hotel must submit a copy of the fully executed contract to secure the funds in definite status.

  • For applications submitted in FY2026 (beginning October 1, 2025), payment will be issued directly to the group or third-party organization following the conclusion of the event.

  • Applications submitted prior to October 1, 2025, will be paid to the hotel property as previously committed.

Application Process:

  • Applications will be reviewed and approved by the program administrator, Visit San Antonio.

  • The SATPID Board of Directors may review approved applications at any scheduled board meeting.

  • Applicants will be notified of their status following the program administrator’s preliminary decision and informed of any changes after a full review of the submitted materials.

  • If approved, the applicant will be notified of the maximum funding amount for which the group is eligible.

  • Awards are subject to program guidelines and funding availability for all approved groups with arrival dates within 36 months of booking definite status.

  • A copy of the signed contract must be submitted to the program administrator within three (3) business days of the group going definite.

Application Details:

  • Hotel properties may request up to $75,000 in funding on behalf of their groups during Fiscal Year 2026 (ending September 30, 2026), subject to available budgeted funds.

  • Events receiving other SATPID funding are not eligible.

  • Applications should be submitted for each lead at least thirty (30) days prior to the meeting date; however, shorter booking windows may be considered.

  • A minimum of 10% of the applicant property’s peak room inventory must be utilized.

  • A minimum Return on Investment (ROI) of 7:1 is required. For every dollar awarded in SATPID funding, the group must generate at least seven dollars in hotel room revenue.

  • Within sixty (60) days following the conclusion of the event, the applicant must submit a post-event form including actual performance and supporting documentation, such as but not limited to:

    • Housing Bureau “actualized” room pick-up report

    • Group Master Account folio outlining room pick-up and corresponding average daily rate (ADR)

    • Group’s W-9 form and vendor enrollment form

Funding Process:

  • Upon approval of the post-event documentation by the program administrator, reimbursement will be issued to the group or third-party organization based on actual performance, up to the maximum pre-approved amount. Payment will be made within thirty (30) days of receipt and approval of all required documentation.

IMPORTANT CHANGE:

  • For all applications submitted after September 30, 2025, incentive payments will be made directly to the group, third-party organization, or meeting planner responsible for booking and contracting with the hotel.

  • Applications submitted prior to October 1, 2025, will continue to be paid to the hotel property as previously committed.
